JOB OPENINGS

TITLE: Bookkeeper (Entry Level)

HOURS: 15-20 hours per week (Part Time, Non-Exempt)

REPORTS TO: Executive Director

PAY RANGE: $18 - 20/hr, commensurate with experience.

The Arts Center in Orange is a nonprofit community arts center with big plans. Founded in 1997 by artists and community members, the organization has steadily grown and is about to celebrate over 27 years of bringing art to our community. Over the years, The Arts Center has showcased artwork by internationally award-winning artists, while also supporting the work of local artists at various stages of their careers. We offer a wide range of arts educational programming, from fine art instruction in our studio spaces to our Community Outreach Program, which focuses on providing art education for traditionally underserved members of our community.

OVERVIEW

The Bookkeeper is responsible for the day-to-day administration of financial operations at The Arts Center in Orange. Working closely with and reporting to the Executive Director, the Bookkeeper supports our part-time accountant and prepares reports for the Executive Director and Board Treasurer. Responsibilities include but are not limited to those outlined below. This is a hybrid role, with the successful applicant expected in person at the office 1 day of the week.

 

PRIMARY RESPONSIBILITIES
AND QUALITIES

  • Provide support for the full-cycle accounts payable process including: accurate and timely payment of invoices, vendor relations, analysis, reporting, 1099 filings and tax related matters.

  • Match transactions in Square to deposits within QuickBooks Online.

  • Reconcile vendor accounts on a scheduled basis to ensure accounts are in good standing.

  • Verify correct account coding/information on all A/P transactions.

  • Process matching of approved and accepted purchase orders to generate payments.

  • Scan and organize mail-in invoices electronically weekly.

  • Liaise with internal and external parties regarding accounts payable matters.

  • Resolve any issues or discrepancies with accounts, while maintaining and providing excellent customer service to both internal and external customers.

  • Respond to and prepare audit information as required.

  • Maintain accurate records and control reports.

  • Collect staff timesheets and assist with payroll.

 

MINIMUM
REQUIREMENTS

  • Bachelor’s degree or equivalent combination of education and experience.

  • Understanding of basic principles of accounting, and bookkeeping.

  • Strong customer service skills.

  • Detail-oriented with excellent time management skills.

  • Ability to maintain confidentiality of company and partner information.

  • High proficiency with QuickBooks Online and Microsoft Excel

  • Knowledge of Square and Network for Good/Bonterra a plus

  • Excellent planning and organizational skills; ability to effectively manage multiple priorities.

  • Strong analytical and problem-solving skills.

  • Detail-oriented with a strong focus on data accuracy.

VOLUNTEERING

We love our volunteers! Volunteering with The Arts Center in Orange is easy: all you need is a love for art! Our volunteers assist with things like putting together art supply packets for The Community Outreach Program, answering visitor questions, and making The Arts Center a fun, welcoming place to be.

All volunteers who give at least 4 hours each week receive a 15% discount in our shop and free registration for one class per session.

During the first shift, all volunteers receive orientation. Volunteers under the age of 18 must be accompanied by their parent or guardian for the first shift.

INTERNSHIPS

Internships at The Arts Center in Orange are designed to provide practical training experience to individuals interested in pursuing careers in the arts and museum fields. Interns gain a broad understanding of how the organization functions, and learn specific skills related to their internship focus. Interns are assigned based on academic background, professional skills, interests, and career goals. Internships require a commitment of at least two days a week onsite at The Arts Center in Orange (129 E. Main Street, Orange, VA 22960).

Please note: Candidates may either be Juniors or Seniors in High School and applying through a work-study/vocational program, or junior-year college level or above to be considered. COMPENSATION
All internships at The Arts Center in Orange are currently unpaid opportunities. However, all interns receive a 15% discount in our shop and can register for one free studio class per session. We are also open to working with your school to arrange for class credit.


SOCIAL MEDIA/MARKETING
INTERN

Hours: 16 hours per week
Reports to: Executive Director

The Social Media Marketing Intern is responsible for assisting in a range of marketing initiatives within The Arts Center in Orange. As an intern, they will be working closely with the Executive Director, Administrative Assistant, and Programs Coordinator. Working in a team setting will provide them with real hands-on projects and daily tasks that use social media platforms to promote and manage The Arts Centers online presence. Interns will be able to apply classroom based knowledge to projects and gain essential skills needed to be career ready.  The Arts Center in Orange is dedicated to developing successful leaders, and we strive to make this internship as realistic and informative as possible.

RESPONSIBILITIES 

  • Work alongside the team to create a plan for social media strategies monthly

  • Assist in the growth of The Arts Center by raising awareness through various social media platforms

  • Monitor postings to ensure brand message is constant from the terminology used to images posted

  • Aid in the daily aspects of promoting The Arts Centers workshops, community engagement and other activities

  • Interact with followers by communicating and answering questions through the company's social pages

  • Assist in implementing plans to increase followers on popular social media websites such as Instagram, Facebook, YouTube and Twitter

  • Help create content as dictated by the monthly editorial calendar to promote exhibits, workshops, and community engagements

  • Other duties as assigned 

ACQUIRED SKILLS: As a result of working as the Social Media Marketing Intern, the student will have the opportunity to acquire and further develop their communication, time management, attention to detail, adaptability, and customer service skills. 


AUDIO/VISUAL (A/V)
INTERN

Hours: 16 hours per week
Reports to: Executive Director

The Audio Visual (AV) Intern will assist with the photo and video needs of The Arts Center in Orange through planning, executing, and collaborating with the Executive Director. The Audio Visual (AV) Intern will be responsible for capturing, editing, and delivering photos and videos to support The Arts Center in Orange print and digital marketing materials. This position will work with our Social Media Marketing Intern, Administrative Assistant, and Programs Coordinator. The Arts Center in Orange is dedicated to developing successful leaders, and we strive to make this internship as realistic and informative as possible.   

RESPONSIBILITIES 

  • Work with The Arts Center team to advertise programs, workshops, and special events via photos and/or videos 

  • Capture engaging photos and/or videos to support the creative process of marketing content for The Arts Center in Orange programs, service, and special events

  • Assist with maintaining a consistent identity of The Arts Center in Orange by following the organization’s brand guidelines while meeting marketing requirements 

  • Think creatively and develop a robust photo and video library for printed and digital content

  • Assist with scheduling content to be published on social media at ideal times

  • Assist with monitoring the social media channels and activities 

  • Assist with managing The Arts Center in Orange social media content calendar 

  • Assist with curating social media content for events, stand-alone campaigns, and other projects

  • Other duties as assigned
